AAJA-NY CHAPTER BOARD MEETING

May 14, 2013, 7 PM

TRIVIA BOWL (May 16)

Update from Leezel and Bao. Volunteer list and duties and evening’s program circulated.

So far we have 8 teams, including NY Times (last year’s winner). Some single tickets available for $50, and available at the door. Convention year made it harder to get more sponsors.

CAPA FESTIVAL (May 18)

To be held at 40 Division street at P.S. 124. Yung Wing School, Confucius Plaza in Chinatown

Volunteers needed to sit at table in 2-3 hour blocks: 9-11 AM; 11 AM – 1 PM, 3-5 PM, 4-6 PM. Trying to link journalists to talk to community groups—a goal is to offer a kind of media-access workshop and to introduce journalists to local communities: how to write press releases, contact media. Tip sheets on the table.

CONVENTION

Key question: should NY chapter take a 10 percent cut of convention proceeds or take proceeds only from the silent auction?  In the past, LA got 16 K from the convention; there was 17 K from silent auction, so pretty close. In Detroit, silent auction got, about 23K, cf. 11K [?] in convention revenue.

Action: We’ll take a vote online. Will get input from Chris and Brooke.

CHAPTER RESPONSIBILITIES FOR CONVENTION

6 different venues: Goal is to have 1 board member for each.

1. Silent auction. Sona Patel and Chau (from Newsday), working w/ National to see what kind of items to get. Helin Jung is storing silent auction items

2. Sponsorship: $50,000 Goal

Cat, Chris, Philip, Chau

Various levels and deadlines. We also do not want to double-tap sponsors (ie., Triviia Bowl and Convention)

June 15: Company advertising due for convention book

July 1: Career Expo sponsorship

Gala tables available as well as straight-up donations.

We will try to hit on personal level—ie, if we know someone at a targeted company.

Cat working w/ SF member to tap start-ups.

Right now, we’re looking for people to target. A list of NY companies and those calling them was distributed.

Main list came from Brooke – to be re-sent to googlegroups

Involve chapter members–ask them for contacts if they have personal contacts. Method not yet finalized: perhaps get contacts first, then send list of companies and contact names to members to see if they have a personal connection.

Ask Jeanne Park, Cheryl Tan–a VIP list.

Other possible companies: Con Edison. A wellness foundation?

3. Volunteer round-up.

Need someone to head up , get a list together, then assign as a group. Need a volunteer coordinator. Charles Choi a possibility [PY to contact]

4. Gold & Platinum members perks

Bea to get list from National. Help secure goodies, experiences for premium members for the convention.. Maybe contact Marcia Santillan. Number of goodies (eg., gym passes, massages, restaurant discounts, maybe plays) not clear.

5. Mentorship committee.

Philip to take lead. Has contacted Marcia at National.

6. Scholarships.

Need someone to head up. For upcoming internships and scholarships. More like setting up logistics, you have money, what is the minimum we need to give, then getting the word out. Set up committee to judge applicants, and rank. Two scholarships left: internship stipend (before august) and convention stipend. Mmaybe Susannah Kim
